To The University Community:

Purchasing Services strives to provide turnkey procurement solutions to the USF community by adapting Best Practices, optimizing internal resources, and adding value to every transaction in order to enable the
University to meet its goals and objectives.

As part of our long-standing commitment to enhance service quality to the University Community, we are implementing new initiatives to improve the self-service copier program. The following is a brief program description and implementation milestones.

Self-Service Copier Program

Background:
For over 25 years (starting with a fleet of 13 copiers growing to 114), Purchasing was able to maintain a 5 cents per impression cost. The cost per impression includes the following benefits:

  1. Paper (letter/legal)
  2. Consumables (Toner/Developer)
  3. Parts (Drum/Rollers/Clutch/Platen/Fusers/etc)
  4. Maintenance (performed by Certified Service Technician)
  5. Key Operators (public machines checked twice daily/departmental machines one daily)
  6. Enhanced features in some locations (fax, printer, duplex, stapling, sorter, automatic document feeder, large capacity trays)
  7. Direct monthly billings to cost centers

On May 12, 2004, The Leadership Committee approved the following changes to the self-service copier program:

Effective July 1, 2004:
Coin Box Copies will be $0.15/copy. Student One Card and Regional Office ITC Copies will be $0.06/impression.

Effective June 1, 2005:
Departmental copies will be $0.06/copy. With the reduction of copiers and a nominal price increase of $0.01, we believe we can maintain a $0.06/copy for the remaining 48 months of the facility management contract.

Even with this increase, USF continues to have the lowest cost per copy to faculty, staff and students.

The New Generation:
The new generation of “copiers” is now known as Multi-functional devices (MFD) that are digital, fully networked with hard drives“on-board.” With the technology advancements made, a higher skill set
of service technicians is demanded. The MFD requires hardware/software installations and upgrades – the service technician must have the skills equivalent to a programmer in addition to servicing the copier.

We hope that by January 2005, that the entire fleet of copiers will be Multi-functional devices (MFD).

The contract for the new copier program is effective July 1, 2004 through June 30, 2009.
