In response to cost savings initiatives, Purchasing Services has extended the contract for the Self Service Copier/Multi-Functional Device (MFD) program for a period of 2 years effective 7/1/2009. The contract extension will allow us to maintain the current cost of $0.06 per Black & White (B/W) impression and $0.30 per color impression through June 30, 2011. B/W Coin Box cost will remain at $0.15/impression. All coin boxes attached to Copier/MFDs will be phased out as of May 31, 2010.
During the next few weeks, several Copier/MFDs will be moved around to maximize the equipment life cycle and minimize service interruptions. Ricoh Professional Services/Copy Center will provide delivery/installation dates to departmental (single-use) locations impacted. To minimize disruption, please ensure the pathway and surrounding area to the device is accessible prior to delivery.
Shortly after installation, departments will be contacted to schedule a comprehensive 1 hour training session in your location. The training session should be well attended to utilize all features and properly operate the device to minimize malfunctions, such as paper jams. Please inform the technician if a brief basic training session is required on the day of installation.
The Copier/MFD will be operational AFTER the programming & testing cycles are completed. Please be prepared to use a Copy Card at any Public Use Copier location since the set-up may take several hours to complete.
The monthly minimum charge of $600/month for Departmental (single-use) Copier/MFDs still applies. This translates to either 10,000 B/W impressions (@ $0.06/ea) per month or a combination of B/W & Color impressions (@ $0.30/ea). Any impression made thereafter will be charged at the appropriate rate.
It is recommended to utilize the Departmental Copier/MFD to its full capabilities and reduce/eliminate single function devices (i.e., printer, fax, scanner, etc.) your office supports and maintains. It will assist in meeting the monthly minimum charge, reduce energy consumption and more importantly, it’s the best cost effective solution for self-service copy, printing and faxing requirements.
The program’s cost per impression includes all Copier/MFD supplies, service & maintenance (not related to vandalism). A few key highlights are listed below.
- Paper [1] (letter and legal size)
- Parts and Supplies (i.e., toner, developer, fuser, drum, rollers, sensors, blades, etc)
- On-Site Ricoh Certified Technician and 2 Service/Support Key Operators to minimize downtime
- Print from Desktop, Scan to Email & Fax Capabilities [2]
- Finisher (sort, collate, staple, duplex, automatic document feeder, etc.)
- Quality Assurance Service Checks (Single Use: Monday-Friday, Public Use: 7 days/week)
- Preventive Maintenance
- Secure/Lock Print
- Access Codes for Monitoring Usage/Features
- One Card Readers on Public Use Devices
- Direct monthly bill to department FOAP.
