What is Facilities Management?
Facilities Management is a service organization designed to construct, renovate, operate and maintain the buildings and grounds owned by the University of San Francisco.

Where is it located?
The main office is located on the east side of Hayes-Healy Hall, facing the baseball field. The office is open Monday through Friday from 8:00 A.M to 4:30 P.M. Engineers are on duty 24 hours daily. USF Recycles, Environmental Safety, and Project Management are located in the LM Underhill Building .

What does it do?
The overall purpose of the department is to safeguard the building and grounds, operate them in a cost-effective manner, reduce the rate of their deterioration thereby increasing their functional life, and to provide safe, viable and pleasant environment for teaching and learning.

How does it operate?
The services performed by Facilities Management are divided into two categories: General Maintenance and Departmental Services.

General Maintenance
includes all repairs, maintenance and minor alterations that are made either at the predetermined intervals or as emergencies demand. The operations of the heating system, power and water supplies, sewage and refuse disposal, ventilation and similar functions are also general maintenance. Funds for these services (except those buildings that are operated as auxiliaries such as the residence halls) are provided in the Facilities Management operational budget. Work orders for general maintenance may be phoned into the Facilities Management front desk at x6464. Request a work order number at the time you call for your reference.

Departmental Services
include any services performed by either Facilities Management personnel or outside contractors upon special request by any University department. These cover a large range of services that are not normally rendered in the regular maintenance schedule. Requests for such services should be made to the Facilities Management office by the person in the department responsible for the account. The cost of any departmental service is billed to the requesting department. These charges are cost charges. Materials are furnished at Facilities Management cost and the wages of Facilities Management personnel are charged to the nearest quarter hour. If an outside contractor is hired by Facilities Management to perform the work, the entire contractor's invoice will be charged to the requesting department.

Some of the most common departmental services are:
  1. PAINTING - Maintenance painting is done on a schedule basis as a Facilities Management service. Any painting requested outside the normal cycle is performed as a departmental service. The normal cycle is ten years if funding is available.
  2. BULLETIN BOARDS - Facilities Management will install bulletin boards as a departmental service.
  3. SPECIAL CLEANING - If special cleaning is required in addition to the routinely scheduled cleaning, it will be considered a departmental service.
  4. All services rendered for residence halls, Koret Center, off-campus properties and food service areas are departmental services.
  5. SET-UPS - Registration, graduation, special programs or events, athletic contests and other similar occasions are departmental services.

Any service not covered in the general maintenance operational budget, as previously described, is a departmental service. It is advisable that departments make provision in their budgets for any departmental services they might require.


The Facilities Management office will be glad to furnish estimates for the cost of services requested. An estimate can be obtained by submitting a written work order to the Facilities Management office describing the service desired. When requesting an estimate, please check the appropriate box on the work order form.

How do I use it?

Most requests for work may be phoned in at x6464. Please be prepared to describe:

  • The work required.
  • The location of the work.
  • The contact person and their location and phone number.
  • An account number.

Please note that it is the policy of our department to accept orders for departmental services and account numbers over the phone. Your department's business or budget manager, or director or dean may have a different policy!

Requests for Keys and Lock Changes - Requests for lock changes and/or copies of keys must be submitted on a written work order form and the appropriate dean, director or vice president must sign that form. If you are simply having difficulty with an existing lock or key, we consider that a normal maintenance request and you may simply call x6464 to report your problem.

Tables and Chairs - Facilities Management does not own the tables and chairs used for events on campus. However, we do provide the labor to move these equipments around campus. If you are having an event that requires tables and chairs, you should fill out a work order form, including an account number, number of tables and chairs (or other equipment), date/time of delivery and date/time of pickup, and location of the event. Take this completed work order to the University Center desk and order the tables and chairs. They will forward us your work order to move the equipment as well as a confirmation of your reservation for that equipment. Please plan ahead! We are very limited in staff and require at least forty-eight hours notice to schedule moving equipment. Our staff is available to provide delivery, set-up, take-down and return of these event furnishings Monday through Friday, 7:00 a.m. to 3:30 p.m. After hours or weekend staffing require at least two weeks notice and is available only for large functions.

Telephones - Facilities Management is not in charge of fixing the telephones. Please call Information Technology Services at 422-HELP.

Cable - If your cable wire has slipped into the wall, we will do a work order by phone to retrieve it. If you are experiencing cable reception difficulties, please call Instructional Media at x2002.

Furniture Removal/Storage -The University has very limited storage space and so we cannot hold furniture for individuals or departments. We do have a very small area that we use for furniture that is surplus. If you have a piece of office furniture in good condition that you no longer need, we can take it to storage and make it available for another University faculty or staff for use in their office.

Office Machines/Refrigerators/Microwaves - It is rarely cost effective to have a Maintenance Engineer spend time trying to locate necessary parts to fix these items. If you would like repair service for them, you will need to contact an outside vendor.
