RLIN Invoices and Compiling Statistics

Every month, the Systems Librarian will enter his own, and the Cataloging Assistant's, statistics into Excel spreadsheets. The RLIN invoice comes monthly, directly to the Systems Librarian; the invoice pages are routed to the Library Assistant for Serials and Accounting, and the pages with the details in support of the invoice are retained indefinitely by the Systems Librarian.  Every June (the beginning of the Library's fiscal year), totals from the previous fiscal year are compiled into annual spreadsheets.

Definition of Some Terms in Cataloging Statistics Form:

Title:  Statistics are kept by title, as defined by the ABA

New Copy, New Original:  Materials which are newly received by this library, and which receive either new copy or new original cataloging.

Copy cataloging: indicates that our staff have copied subject cataloging from another record, and have either copied or created descriptive cataloging. Variant edition cataloging is considered copy cataloging (e.g., creating a 2nd edition record from a 1st edition record). On RLIN, "New Copy" is the result of the following transactions in the Catalog function: der, cre*, tra cre*, or tra der.

Original cataloging: indicates that subject cataloging and descriptive cataloging have been created by our staff. "New Orig." is the result of a "cre" transaction on RLIN, in the Catalog function.

"Old" Copy, "Old" Original:  Materials which have already been received by this library, and placed into the collection for patron or staff use, but have never been cataloged are recorded as "old.

"Recon:  The conversion of existing, manual cataloging records to machine readable form (e.g., from catalog card to RLIN MARC record). Recon is the result of the following RLIN transactions, in the Retrospective function: der, cre*, cre, tra cre*, or tra der.

Reclass/Recat:  Any change or reassignment of call numbers on existing cataloging records; any change or adaptation of cataloging on existing cataloging records. These may be the result of the following RLIN transactions, in the Catalog Maintenance function: upd, cop id, mer id, tra id, or tra cop id.

RLIN Upd.:  Any changes made on the RLIN hol screen; any simple change/correction on the RLIN bib screen. These simple changes are the result of an "upd hol" or "upd" transaction in the RLIN Catalog Maintenance function.

OPAC Upd.:  Any update/transaction made by the cataloging staff on the library's Innopac system that effects the integrity of the database. (E.g., in "Database Update" or "Transfer Attached Records.")

Withdrawn:  Withdrawn titles are those which have been removed from the collection, and whose records have been deleted from RLIN.

Aut:  The last three categories pertain to Authority work, i.e., creating, verifying or correcting headings, and/or creating cross-references on the OPAC.

"Put": indicates that an authority record has been PUTed from RLIN into the OPAC (i.e., copied for local use).

"Keyed:" indicates that an authority record has been created by our staff, and keyed into the OPAC

"Opac Upd.:" indicates an authority record has been modified or deleted on Innopac

"Global Upd." indicates a global update of the headings in bibliographic records on the OPAC.
