Decisions Not to Catalog Some Materials

If the library orders an item, an order record is in Innopac, attached to a brief bib. The decision not to catalog an item will be made by the Systems Librarian in consultation with other library staff members. The following types of items are not generally cataloged by the library:
  • An item ordered in error that we're not adding to the collection
  • A small pamphlet that will be routed to Lee (and filed in Reference)
  • An item for staff use only that is:
    • A magazine shelved in the Administrative Assistant's Office
    • Computer files that are for staff use only

If an item will not be cataloged, modify its records in the following ways:

If there is an RLIN record, update the status on the record from "s" to "p" (ST field) and delete the record (INS D).

In Innopac:

  • Suppress the record (BCODE3 n)
  • Delete any RLIN number field
  • Add a note indicating the item isn't cataloged and a brief reason, e.g.:
    • NOT CATALOGED; RETURNED TO PUBLISHER
    • NOT CATALOGED; ORDERED IN ERROR
    • NOT CATALOGED; IN LR'S PAMPHLET FILES
    • NOT CATALOGED; STAFF USE ONLY; SHELVED IN ADMIN. ASST.'S OFFICE
  • Include a LIB HAS field if necessary (for holdings, shelving info, etc.).
  • Make an item record if the item will be retained by the library, with or without a barcode number.
