Ceased Titles

These procedures are an expansion of Technical Services procedures, "Cancellations, Titles Ceased, and Withdrawal" and apply to titles that have ceased publication, both multi-volume monographs and serials. These procedures do not apply to title changes.

A Technical Services Title Maintenance form will be initiated when the library is notified that the title is/will be ceased. This may be due to a letter that the library received, or from information found on the item itself. The form is routed first to the Technical Services Librarian and then to the Systems Librarian with information on retention filled out. The last piece must be in hand to close the bibliographic record.

  • Check record in OPAC
  • Copy RLIN record number down.
  • Double check the check-in record in OPAC for last received volume.
  • In RLIN, close the dates in the pd fixed field and variable fields 260 and 362.
  • Add a 500 field that says:  "Ceased publication in _____.
  • "Copy 362 field and paste into ANT field preceded by a \ and ending with a \.
  • PUT record over to OPAC.
  • Update the item records with any retention or withdraw information as noted on the Title Maintenance flag.
  • When finished count on the Cataloging Statistics as "Re-class/cat.
  • Route the form to the Serial Assistant.
