Cataloging Basics

1. RLIN Password and Connection

a. Use RLIN to catalog title: (Ask Sirous for RLIN Password and Account Number)

b. Connect to RLIN and at prompt, type one of the Basic RLIN commands:

Cal rlin (cat) = enter RLIN cataloging mode - to be used for working on bibliographic records

Set fun cat = sets the RLIN cataloging mode to cataloging
To be used for DERving CSFU-L cataloging from other libraries' records

Set fun cat mai = sets the RLIN cataloging mode to cataloging
To be used for modifying CSFU-L order and/or previously cataloged records

2. Finding the Right Record

For ordered items, find the RLIN order record for the item using an ID search (this is the cheapest search and the most precise).
An ordered item will include the RLIN ID number somewhere in the paperwork which should accompany the book. RLIN Ids use the form yy-axxxx, where "yy" represents the year the record was added, "a" represents the basic MARC record format, e.g., "b" = book, "s" = serials, "d" = data,
and "xxx" represents a number with at least one digit - for example, 98-B165.

3. Finding "Preferred" Libraries

Preferred cataloging records will have in the FUL display:
ST code = "p"
CC code following the pattern "xiix" (where "x" is any digit);
DCF code = "a"

First Library Ids preferred when selecting cataloging copy
DCLC (Library of Congress is always the first choice); MAHL; TXUL;CMSL;NJRL;NYCL;CSCL

Second tier preference libraries include:
CGGL;CLCL;CUBL;CLSL;CUDL;CCSL;CSAL;CRCL;CTYL;CACL;IAUL;
PATL;CSUL;MIUL;NYCX;MABL;NYUL

If copy from these libraries cannot be found, use any copy that has a CC code of 911x. If no copy can be found, create a brief bib record in Innopac (See Cat Manual at http://www.usfca.edu/law_library/ts/cat/briefs.html) hold for one month, and press the date searched on the processing slip.

4. Updating and Copying Records in RLIN

To update the information in the CSFL record that was created when the order record was passed, use "upd" in
set fun cat mai.

Copy id: To replace bibliographic data in your current record with the bibliographic data from another record in the same file, type copy id and a record id. First retrieve your target record (the record you want to copy the bibliographic data to. Ex: find id dclc893903b/copy id dclc 7717277b).
All fixed filed values are copied to your record except ID, RTYP, ST, FRN, MS, AD, ATC, and UD. All variable fields are copied except 035, 350, 540, 583, 584, 59X, 69X, 79X, 87X, and ATN, LDX, PUC, PVT, QD, RSN, SHS and SPT.

You can use Copy id in the Catalog function if your target record has an RTYP of "a". For records that have RTYP "b", "c", "d", or "e", use
set fun cat mai function. You cannot use Copy id to copy from one of your own records; use Merge ID instead.

5. Verification

a. Verify that the primary descriptive fields (tags 245-5xx) match the item in hand.

b. Verify the access points against OPAC:
1xx - main entry
440's - series
6xx's - subjects
7xx's - name/title (700,710,711,730, Not 740)
8xx/s - series (830s)
Authority records will be searched in OPAC later

c. Verify call numbers against OPAC and/or shelf list
Note: Cal numbers > = KF 1515 are in online shelflist ; numbers below that are not (should verify accuracy of this)

6. Modifying the RLIN Record (in BIB Display)

a. ST code = "p"
b. RTYP code = "c" ; if RLIN record is an order record, the RTYP will be "o" and MUST be changed
c. Add 040 subfield d "$dCSFUL-L" if you have changed any data in the BIB portion of the record (aside from adding an LDA field)
d. Add 050 call number from another record if not present (NOTE: see online cataloging manual with warning about obtaining call numbers from other libraries http://www.usfca.edu/law_library/ts/cat/callnos.html
e. Add LDA field at end of bib record. See http://www.usfca.edu/law_library/ts/cat/lda.html for guidance.
Be sure to use "ov=.b" command to ensure that Glessen records are not overwritten. (There is a marco programmed with this information on the Sys Libr version of RLIN, using F2 and "n" key)
f. On the HOL screen, make the following changes:
CIN = ACQ
CALL = call number chosen for our collection
INS = N
LOC = Enter appropriate location code. (See http://www.usfca.edu/law_library/ts/cat/locs.html for guidance).

g. Write call number on top of title page verso.

h. Once the record has been modified according to the local standards, ENTer the record into RLIN,
and then PASS it to Innopac

i. Check status of printout from logging printer; mark statistics sheet; date stamp papaerwork

7. Modifying the INNOPAC Record

a. Access the Innopac cataloging module (Cataloging Database Maintenance)
Locate the correct OPAC record

b. Search for authority record in OPAC. If non exists, check on RLIN by using the cal rlin (aut)
function; select the NAF (name authority file) and the SAF (subject authority files) by typing sel fil naf or sel fil saf and then fin pn or fin pe (name authority); fin cw (name authority corporate); fin sw (subject authority) and ENTER.

c. If there are no cross references on RLIN, accept the heading

d. If there are cross references (4xx's or 5xx's), pass the heading from RLIN to the OPAC

e. Add a new item record

8. Books with NO CSFL-L record

a. You must be in the set fun cat function of RLIN

b. After finding the proper record, you use the "fin id" command of record you're copying and then DERive the record

c. Follow steps from 6 - 11 as above

9. Moving Previous Editions to Storage

a. In Innopac, change the location in Bib And item record to "lsto".

b. If changing on RLIN

10. Transfer a Book to a Serial Format or a Serial to a Book Format

INS = n/ENT

b. To Transfer a serial record into a book format
on RLIN: cal rlin (cat)

INS/=n/ENT

c. On statistics sheet, count one RLIN upd (bks), one new serial title or upd (ser), one new book title

12. INNOPAC Codes for Cataloging Audio Visual Items

For all audio visual materials change the location in Bib record and Item record to either LAVM or LAVMO (LAW RES AV - LAW RES AVO).

13. Modifying Bcode3 in Innopac

a. Add "z" in all newly cataloged records in Bcode3. This prevent our law bib records from being seen by Link+ participants since we have opted neither to participate nor to contribute our records at the present time to this union catalog..

b. Use "g" in Bcode3 for government document records only.

c. Use "n" in Bcode3 for suppressed records only.

14. The RLIN Holdings portion of the record

Fill in the following:
CIN (see CIN Codes used in Cataloging)
CALL: Our local call number; it may be identical to the 050.
ANT: Any library has information, e.g.:
Library keeps latest ed. only.
Library keeps latest ed. in [loc]; previous eds. in [loc].
Library keeps latest ed. in [loc]; next to latest in [loc].
Library has vol. 5 only.
LOC: The location code of the item; there may be more than one

15. Instructions for specific fields:

006 vs. 008: With fixed-field format integration, the 006 will represent the content of the item, and the 008 the carrier. (LC, Oct. 1995) For information on these and other fixed fields in RLIN see RLIN Fixed Field...Format Integration.

007: Add an 007 whenever appropriate, even in cases where LC would not.

040: If any portion of the bib record is changed in any way, excluding the addition or modification of an LDA field, add $dCSFU-L to the end of the 040 field.

050: Include an 050 _4 in original cataloging according to the RLG Guidelines for Using 050 _4.

086: Include the government document call number from any source; if not present on the item, or in the selected copy, search for copy that does have this number and include in our record.

246: See LCRI, 21.30J and the 246 Table.
Citation titles: If the item has a citation title, anywhere on the item, include the title in a 246, e.g.,
246 1_ $iCitation title:$aGeo. Mason L. Rev.

247: Do not use. Record former titles in a 246 or with a 500/246.

265: Delete from all records. For new items, rekey in 037 $b.

350: Delete from all records.

5XX:
All formats except SER: Input in AACR2 order with the following exceptions:
538, if present, first.
533, if present, last.
SER: Numeric tag order, with the following exceptions:
538, if present, first.
500's in AACR2 order.
533, if present, last.
505: New non-serial records: include an enhanced note when appropriate (c.f., AACR2, x.7B18).
547: Do not use. Former titles will either be recorded in a 246 with the varying form, or cataloged as a title change.

753: Do not use.

760-775, 776, 777-787: Linking entries: Do not use for monographs; use only for serials.

LDA: Add an LDA field with proper coding (see LDA Commands and Subfields, and location code tables)

16. Authorities:

Search all authority controlled fields on the opac.
Name headings, including uniform titles, must match exactly.
Subject headings, excluding free-floating subdivisions, must also match exactly. Free-floating subdivisions must match and be used according to the policies in the LC Subject Cataloging Manual : Subject Headings.
If there is a law bib record with that heading, consider it a match, whether or not there is an authority record for that heading in the opac.
If there is not a law bib record with that heading, even if there is an authority record with that heading, it is not a match:
Search the heading against the RLIN authority files.
If there is not a record for that heading in the opac, and the record includes cross-references, pass the record into the opac.
If there is a record for that heading in the opac, and the RLIN authority record has been updated, print a copy of the authority record and route with the item to the Cataloging Librarian.

17. OPAC Heading Reports:

The Law Systems Librarian shares in processing the Innopac Headings Reports with the USF Gleeson Catalogers. This workflow is coordinated among four librarians in a weekly basis.Headings are verified against LC Authority files, using OCLC and authority records (Name and Subject authorities) are exported to Innopac. Errors are corrected, or routed back to the Head of Cataloging at Gleeson.
