Description
Given the scope and volume of work related to the implementation of Project
BOB, Information Technology Services requires this process be followed in order
to obtain approval for any new requests for new or enhanced services as such
work applies to the Enterprise Systems & Applications Group (ESA).
The purpose of this new procedure is to:
- Free Programmer and System Administrator resources for work on the ERP project,
Project BOB.
- Limit the number interfaces and modifications that will need to be migrated
from our existing legacy ERP system to the new Banner platform.
This is intended to be a collaborative process. You should feel free to contact
members of the Enterprise Systems & Applications group,
including the ESA Project Manager or the ESA Director, for assistance or guidance
in defining the needs and requirements of the proposed work. It is important
that any new or enhanced services are clearly thought out and thoroughly evaluated.
It is not ITS’s intention to diminish service, but rather to serve the
University most efficiently during the implementation of Project BOB.
Process
- Requestor fills out an Enterprise Systems New
& Enhanced Services Request Form & submits it to the ESA Project
Manager for processing.
- The ESA Director will review the request and submit, as appropriate, to
the VPIT with a recommendation.
- The VPIT will evaluate the proposal and make a determination on whether
or not ITS can proceed with the request.
- ESA Project Manager sends approval / decline e-mail to requestor.
FAQ
What sort of requests does this procedure relate to?
Requests would need to be made for any new project to be managed and implemented
by members of the ITS Enterprise Systems & Applications (ESA) group, which
includes the Programming, Operations and System Administration groups. Examples
of such projects might be a single sign-on feature for USFconnect, a new application
integration (examples of current application projects are AdAstra Scheduling
and SmartBen), and new server support (e.g. you would like ITS to take over
support of a server currently managed in your business unit). If you are unsure
if your project must go through this process, please contact the ESA Project
Manager, Beth Forest, forest@usfca.edu, for assistance.
When do requests need to be submitted?
Requests need to be submitted for any work efforts which will require more
than two days of work.
When will a request most likely be approved?
- New or modified functionalities critical for:
- Supporting the mission critical operations of the University
- Public Safety
- Significantly enhancing and/or protecting information security
- Saving substantially more money than the cost of request
- Carrying out USF’s Mission
When are requests most likely to be declined?
- New services which:
- may be reasonably deferred,
- will conflict with Banner’s capabilities,
- are redundant with new features coming in Banner, or
- will significantly add to the cost of implementing Banner.
