Upcoming EPAF Trainings
We currently have no group EPAF trainings scheduled. Please contact Mike Holmes at email@example.com if you require training.
New Student EPAF Approval Categories
We are pleased to announce a significant enhancement to the student EPAF process, in the form of newly streamlined student EPAF approval categories to replace the traditional "Student New Hire" and "Student Assignments" forms.
Effective July 5th, the "Student New Hire" and "Student Assignments" approval categories will no longer be available.
Replacing them will be two new EPAF approval categories: "Student Hire" and "Student Stipend." The former will used be for ALL student hourly assignments, while the latter will be used for ALL student stipend assignments. Read more...
Change in EPAF Approval/Routing Queues
Effective 6/14/12, the 40 - HRSAPR approval level with approver Gregg Cannella (GFCANNELLA) has been replaced by 40 - HREMP with approver Jennifer Heap (JJHEAP). Additionally, the 60 - EPAFAP approval level with Mike Holmes as approver has been removed from all staff and faculty EPAFs. Your default routing queues have been automatically updated with these changes where applicable.
EPAF Date Guide
To assist in your understanding of the date fields on EPAF, including the Query Date, we have published the EPAF Date Guide. Download here.
Please note that once again all students intending to work in
the 2012-2013 academic year must obtain a work clearance from One Stop
prior to the submission of the EPAF for that assignment. For more
information about work clearances and the student employment process,
please visit the Student Employment webpage or contact Student Employment (x6770).
Effective 11/17/08, we have implemented a new protocol for
paycheck and pay advice distribution, which will in turn mean a change
in the way EPAFs are submitted.
In the past, we have asked EPAF users to enter the department "Org"
code (e.g. 541001) in the Distribution Organization field and the value
"1" in the Home Organization field. We have developed new Check
Distribution #'s (e.g. P5411), which should make our paycheck
distribution more effective, and we ask that you now enter these new
Check Distribution #'s in the Distribution Organization field.
Default EPAF Approvers
Please list Jennifer Heap (username = jjheap) as the default approver at the "40 - HR (Employment)" level for all staff EPAFs.
Please list Melissa Takahashi-Brooks (username = takahashi) as the approver at the "90 - Payroll" and "99 - Final Applier" levels for all staff and faculty EPAFs.
EPAFs for student employees should continue to list Reuben Concepcion (username = concepcion) at the "90 - Payroll" and "99 - Final Applier" approval levels.
Timesheet Organization Numbers
When submitting an EPAF for an employee, the EPAF Originator should
enter the employee's approver and timesheet organization number in the
Comments field of the EPAF form. The
EPAF form will include a separate field to enter the employee's
timesheet organization number. Please enter the approver
name in the Comments field so that HR can ensure that the approver
matches the timesheet organization number. The approver can be someone
other than the supervisor, if desired by the supervisor.
For a list of e-timesheet approvers and their corresponding timesheet organization numbers, please contact firstname.lastname@example.org.
EPAFs for Self and/or Family Members
Please note that EPAF admins should not submit any EPAFs to affect their own or a family member's personnel record. Any EPAF that an employee submits for themselves or a family member will be returned with a request that the EPAF be voided.
If you have any questions related to the EPAF process, please contact Melissa Takahashi at x2479, or email@example.com.
